Our Process (Step by Step)
As a Nanaimo real estate notary, we provide expert precision and local insight to ensure your real estate transaction is seamless, secure, and stress-free.
Step 1
Get in Touch
Once you have an accepted offer, contact our office by phone or email. We’ll prepare your file and wait for your contract.
Step 2
Send Your Documents
After subject removal, your realtor sends us the full contract. We officially open your file and assign a conveyancer.
Step 3
We Handle the Details
Our team will contact you to collect the required information and begin processing your transaction.
Step 4
Signing Appointment
1–3 days before completion, you’ll meet with the notary to sign documents and provide ID (and bank draft if purchasing).
Step 5
Completion Day
Funds are transferred, the title is registered, and the deal is complete. We’ll notify you and provide final documents.
Common Questions
Can I sign using a Power of Attorney?
Yes. We require the original Power of Attorney documents in advance so they can be registered before completion. If however you are signing mortgage documents with a POA, you will need to obtain the lender’s permission to do so as some banks do not allow their mortgages to be signed by way of a POA.
Do you offer virtual signing?
No. All documents must be signed in person with our office.
What if I’m out of town?
We can coordinate signing with a notary or lawyer in your area. Let us know as early as possible so we can arrange it.
How much time is needed for a real estate transaction?
Purchases & mortgages: minimum 10 business days.
Sales: typically 5–10 business days, depending on title conditions.
What about Title Insurance?
You should speak directly with your insurance provider. If you have a mortgage, confirm your lender’s requirements (such as replacement cost or earthquake coverage).
What if my property has a well or septic system?
Certain mortgage lenders require inspection certificates of wells and septic, so please inquire with your broker or banker.
What is the difference between Joint Tenants and Tenants in Common?
As a Tenant in Common, you own your interest in the property outright: on your death, your interest in the property is yours to leave to a beneficiary. This is how you may own property with a business partner/sibling/friend.
As a Joint Tenant, there is a right of survivorship: on your death, your interest in the property immediately reverts to the surviving Joint Tenant(s). This is generally how we would register property in the case of a husband and wife. Please consult directly with your Vancouver Island notary to ensure you obtain the right advice.
What is Property Transfer Tax?
In British Columbia, anytime you purchase or gain an interest in property that is registered in the Land Title Office, you must pay property transfer tax, unless you qualify for an exemption such as Newly Built Home or First Time Home Buyer. Your Notary will file the necessary Property Transfer Tax Return and remit payment of the Transfer Tax when they file the Title Transfer.

Can I use a notary from another province?
While many documents use remote notarization, BC real estate transactions allow for signings with any out-of-province Notary, as they do not strictly require a BC-commissioned official for Land Title filings.

Clients must bring two pieces of valid identification and have all documents fully completed prior to their appointment, as the notary’s role is to verify identity and witness signatures. While we do not mail original documents, scanned copies can be provided by email. Payment is accepted by cash, e-transfer, or cheque.
